Autonomous Communications: How AI Runs Our Charity Comms
How QuikCue built autonomous communication systems for charities. AI-powered donor messaging, automated reports, and zero-admin operations.
What if your charity's communications ran themselves? Not drip campaigns — actually autonomous systems that draft, personalise, send, and follow up without human intervention. We built this.
The Problem
Every charity we've worked with has the same communication bottleneck:
- Donor thank-yous are late (or never sent)
- Follow-up messages don't happen
- Trustees ask for reports that take hours to compile
- Campaign updates require someone to write, design, and send
- WhatsApp groups are chaotic with no structure
The typical charity has 1-2 admin staff handling everything. Communications are always the first thing to slip.
What We Built
Layer 1: Event-Driven Triggers
Every significant action triggers a communication workflow:
- New donation → thank you message (WhatsApp + email) within 60 seconds
- Payment failure → retry notification → gentle follow-up sequence
- New pledge → confirmation + payment reminder schedule
- Milestone hit (100th donor, £10K raised) → automatic announcement to team
Layer 2: AI-Drafted Content
Using GPT-4.1-nano with custom system prompts:
- Thank-you messages vary — not the same template every time
- Personalised based on donation amount, history, and programme
- Tone matches the charity's voice (formal for institutional donors, warm for individuals)
- All drafted content is logged and auditable
Layer 3: Multi-Channel Delivery
- WhatsApp (via WAHA self-hosted API) — highest open rates (95%+)
- Email (via Resend/SMTP) — for receipts and formal communications
- SMS — for payment reminders (higher urgency than WhatsApp)
Layer 4: Automated Reporting
- Weekly summary sent to trustees every Sunday at 9am
- Monthly dashboard PDF with charts auto-generated from Metabase
- End-of-campaign reports with totals, conversion rates, and donor demographics
The Stack
| Component | Tool | Cost |
|---|---|---|
| Workflow orchestration | n8n (self-hosted) | Free |
| WhatsApp API | WAHA (self-hosted) | Free |
| AI content generation | OpenAI API | ~£5/month |
| Resend | Free tier (3K/month) | |
| Analytics | Metabase (self-hosted) | Free |
Total cost: ~£5/month to run communications for an entire charity.
Results
- Admin time on comms: 8 hours/week → 0
- Donor thank-you time: 2-3 days → 60 seconds
- Report generation: Manual → Automatic
- Message personalisation: Generic → AI-tailored
